Foolproof Event Planning! FREE checklist so you don’t miss anything!

Monsterball Amusements have been in the industry since 2003, with over 400+ events provided for each year so we definitely have seen the successfully planned events against some of the not so successfully planned. 

To help you plan your next event, we have come up with some really useful tips and a FREE checklist from us to ensure that both yourself and organising team, and the suppliers/vendors at your event are well briefed with all the details of your event and any questions answered to ensure a smooth set up and pack down of your event, which will in turn ensure that your actual event runs smoothly and your patrons have the best experience possible. 

We cannot stress enough just how important it is to keep your suppliers/vendors informed throughout the whole organisation process. The smallest detail missed could affect the running of your event. Sending vendors and suppliers a brief with the event information such as Date, Start and Finish Time of event, Earliest they can be onsite to set up, Access to set up area and checking power/water requirements with them is critical to the day’s running. When choosing a venue, you will also need to check if you need council approval to have the event there on the date you have chosen. Council’s will request paperwork from your suppliers/vendors to for this approval so it’s important to have a copy of ALL your supplier’s Public Liability Insurances, and they may also ask all the suppliers/vendors to fill in some paperwork – ensure you get this paperwork completed as soon as possible as Council can have delays sometimes. 

If you are having your event on an oval, it’s also important to note whether you have to pick up a key to allow your suppliers/vendors to have drive on access to the oval, or if someone will open the gate on the morning of your event. For us at Monsterball Amusements, we require no-obstruction drive in access to sites as our Bouncy Castles and other inflatable amusements can weigh anywhere between 200 and 700kgs per item. Food Vans, Stage/Marquee Companies, Generator & Water Tank Hire companies would require this too. 

Lastly, when choosing a venue, we highly recommend checking all power and water access for your suppliers/vendors, as you may need to organise a generator if your suppliers/vendors are unable to provide their own power (this may be due to unavailability of their own generators if it’s peak season). If any of your suppliers/vendors require access to water taps (such as our waterslides) this is definitely something we need access to onsite. Most council parks will require tap keys to be picked up from their offices to have access to water for your event, alternatively a water tank can be hired.
